If you’re spending more time captaining off the field than playing on it, you’re doing too much by hand. The good news: 80% of the tedium is the same four tasks, and all four are automatable.
Stop running attendance manually
The single biggest time sink is asking who’s coming. Stop. Set up automatic SMS RSVPs once and your players will respond yes or no by text without you sending a single message. You see a live count in the app.
Stop chasing payments
Use a tool with built-in payment collection. Send a single request, the system tracks who’s paid and nudges who hasn’t. Awkward “hey, just bumping this” texts become unnecessary.
Stop maintaining a separate group chat for logistics
The group chat is for trash talk. Move scheduling, attendance, lineups and payments out of it. People will keep ignoring messages either way — but at least the important ones won’t be buried under 40 reactions to last week’s loss.
Stop being the only one with information
If you go on vacation and your team can’t run, you’re the bottleneck by design. Pick a co-captain. Make sure they have access to the same tools. Distribute the load so the team doesn’t fall apart the week you take off.
What’s left for the captain to do?
Pick the lineup, deal with the rare conflict, and play. Anything else, the system should handle. If you find yourself sending more than two manager texts a week, your tools aren’t doing their job.
